Your availability schedule decides, day by day, whether calls reach a person or your agent. Go to My Organization → Availability Schedule.

Start with your team directory

The After Hours Routing dropdown is populated from Your Ministry Team. If that list is empty, you'll have nothing to choose from. Add your team members first.

Each day works one of two ways

Agent covers the whole day. Leave All Day toggled on, then pick which agent answers. That's it. Most churches set Monday through Saturday this way.

Office hours, then agent. Toggle All Day off. The row opens up so you can set an office window and choose a routing number. During those hours, calls go to that person. Outside them, your agent picks up.

A worked example

Sunday is the usual one. Someone is in the building from 7:30 to 4:30, so office hours cover that window and route to the office manager's line. Before and after those hours, the agent answers. The row confirms it back to you: during these hours all calls will route to — followed by the number you chose.

This is the setting that decides who covers which calls after hours — worth thinking through before you set it.

Press the green checkmark

Each row saves independently, and the row is not saved until you press the checkmark at the end of it. A grey checkmark means unsaved changes. This is the step people miss.

Two things worth knowing

The routing number you choose should be a line that does not forward to your agent. If it does, the transferred call bounces back, and carriers generally drop a call that has been forwarded more than twice.

Your schedule is also a separate layer from carrier forwarding. Your carrier decides whether calls reach ChurchCalls at all — that is set up at your carrier. This page decides what happens once they do.
